Professional Experience
Commenced employment in February 2001 being the second employee recruited to a new company. On starting with PICME one of the first duties was to source and equip an office from which the PA and the CEO could work.
Budgetary and financial control systems were then set up including issuance of weekly/monthly variance analysis for company budgets, issuing of client and supplier invoices and management reports. A payroll system was also set up.
In June 2001 the Senior Adviser was recruited and during the next 4 years a further 8 engineers were recruited. The PA was fully involved in the recruitment and selection process of all members of the PICME team.
Each engineer worked from home thus making PICME a virtual company which provided many challenges to overcome. Once recruited the PA helped to set up each employees home office, purchased IT, health and safety equipment, uniforms etc ensuring that efficient communication routes to remote staff were established.
The position of PA involved working alone for extended periods of time using her own initiative and working against deadlines with limited resources. The PA had to have the ability to operate in and support a virtual team across the UK.
To this end an IT infrastructure had to be set up including establishment and maintenance of a company web site therefore providing robust information and communications systems in an efficient manner despite geographic separation.
During her time with PICME the PA had to recognize the need for, source, purchase and implement new software packages and hardware upgrades. For example during 2003 it became apparent that a more effective contact management system was required. The PA set up a selection process to source this software going onto purchasing and implementing this across the PICME team.
To aid with the promotion of PICME 4 major conferences were organised and held at various prestigious locations around the UK along with quarterly seminars with a delegate list of between 20 to 300 delegates.
Day to day duties included:
Using initiative in determining close support, acting as 'gatekeeper' to the team and assessing priorities to determine action to be taken.
Effective liaison with both internal/external individuals/organisations at all levels demonstrating strong interpersonal and communication skills maintaining confidentiality and discretion at all times.
Control of company's accounts including raising of cheques, cash book/bank statement reconciliation and invoice ledger.
Dealing with the day to day contact with customers.
Planning and implementing direct mail campaigns.
Arranging UK and overseas visits including flight bookings, accommodation and currency determining appropriate timetables.
Maintaining and updating multiple diaries, arranging appointments and meetings ensuring effective time management.
Supervising and delegating work to other members of staff when required.
Receiving visitors, organising hospitality, venues etc where appropriate.
Scanning and downloading of images from a digital camera and from then manipulation of those images for use in preparation of presentation slides/graphic materials using various packages.
Preparation and compilation of highly confidential reports/proposals for presentation to outside companies.
General typing, filing, payment of purchase invoices and preparation of purchase orders and sales invoices, faxes and contact with vendors for all office related orders.
Receiving and sorting correspondence, allocating for personal attention. Preparing routine responses and following up to ensure action required. Reporting back and preparing replies where necessary.
Receiving telephone calls, routing through for personal attention. Providing information, redirecting calls where necessary.
