Our client a unique landmark owner in Cyprus is looking to recruit for a Senior Office Administrator to join their team in Cyprus, and more specifically their offices in Nicosia. T

The Senior Office Administrator will implement all office policies, supervise all administrative and secretarial personnel, run the office smoothly and oversee various administrative functions. The Senior Office Administrator must perform his/her duties while adhering to the organization’s values and principles.

Job Responsibilities

  • Review and Preparation of agreements, resolutions, reports, presentations, memorandums, proposals and correspondence.
  • Implementation of company’s Document Management and Filing procedures.
  • Contacting Due Diligence and KYC procedures.
  • Maintaining detailed records of compliance activities.
  • Monitoring office projects and operations.
  • Serving as the go-to for office inquiries and conflicts.
  • Supervision of all administrative and secretarial personnel.
  • Assignment of jobs and duties to other office and secretarial staff as needed.
  • Assisting office and secretarial staff in maintaining files and databases.
  • Management of staff schedules.
  • Tracking of office supply inventory and placing supply orders.
  • Assisting in the preparation of department budgets and expenses.
  • Communication via phone, email or fax with clients, vendors, colleagues and management.
  • Entering of various data in the company’s computer system and making sure the system is constantly up to date.
  • Looking after the requirements of each department.
  • Maintaining the company’s electronic library.
  • Assisting the sales team in the sales process – preparing the sales agreement’s/contracts, providing sales material and brochures, assistance in the collection of the necessary documentation from the clients, etc.

Job Requirements

  • BSc degree, preferably in Business Administration or Law LLB.
  • At least 3+ years of related working experience.
  • Experience in Due Diligence and KYC procedures will be considered an advantage.
  • Detail oriented, highly organized and working with a high degree of accuracy.
  • Ability to multitask and meet changing deadlines.
  • Excellent oral and written communication skills.
  • Multilingual ability. Excellent knowledge of both spoken and written forms of English is required.
  • Excellent computer skills and proficient in MS Office Suite of products. Working knowledge of email, scheduling, spreadsheets and presentation software.
  • Self-motivated. Must be self-directed and able to complete projects with limited supervision.
  • Ability to work as part of a team.
